Graduation Requirements

FOURTH GRADUATION CEREMONY

Greetings from University of Saint Joseph Mbarara. The academic journey which you started long ago will soon bear fruits. On behalf of USJM Management, Staff and the entire community, I congratulate you and request you to take note of the folowing:

01. 4th Graduation Day:

USJM will hold its 4h Graduation Ceremony on Saturday 30th November 2024. Please note that this is a very important day for you, your parents/sponsors and the entire USJM community. You are advised to come in time on that day ready to participate in Eucharist Celebration to thank God for all the successes brought to you and USJM. We congratulate you and your family/sponsors for all the efforts put in to ensure that this phase of your academic journey has successfully come to completion.

02. General Clearing and Result Verification Processes:

The clearing exercise is scheduled to take place between Monday 12th August 2024 and Monday 14th October 2024. You are advised to always come to campus for the exercise during working hours, Monday to Friday only.

  1. Procedure:
  2. Every Graduand is required to pick a clearance form from the reception desk and clear with all the specified Faculties and Departments indicated on the form. The fully filled form should be submitted to the Academic Registrar's office as soon as it is completed, in any case not later than 14th October 2024.

  3. Original copies of UCE, UACE and any other academic documents presented for admission/registration:
  4. Those who never presented the original copies of the above documents for verification are obliged to do so during the clearing period. A list of the concerned students shall be published on the University Notice Boards in due course.

  5. Individual Results' verification exercise:
  6. Every Graduand must verify his/her results with their respective Faculty Deans during the dates specified above. Results verifying exercise includes checking spellings, order of names, Date of birth, Reg. numbers etc..

  7. Graduation Fees:
    1. The graduation fees shown hereunder includes: Gown, Certificates, Transcripts, Graduation booklet, Alumni fee, certified academic documents, passport photos, and graduation expenses all totaling to:
      1. Diploma Graduands: UGX 325,550/=
      2. Degree Graduands: UGX 345,550/=
    2. The graduation fees shall be deposited on the Centenary Bank account whose particulars are:
      1. Account Name: Mbarara Archdiocese University Fund
      2. Account Number: 3100031990
      3. Branch Name: Centenary Bank, Cooperate Branch, Mbarara
  8. Passport Photographs for the Academic Documents:
  9. As part of the clearing process, each student will be required to have a passport photograph taken by a specified person who will submit the soft copies for purposes of your academic documents.

    The identified Company is BETTA PIX LIMITTED, MAKHAN SINGH STREET, and MBARARA CITY. (0774989582 OR 0704582149) Please make sure that you obtain evidence from the Photographing Company that you have taken the photo, which evidence should be presented to AR's office as you submit your completed clearing form.

    NB: The verification and the general clearing exercise are given up to Monday 14th October 2024, Any student, who will not have cleared by the above date, shall not be part of the 4th graduation. S/he will have to wait for the 5th graduation ceremony 2025.

  10. Graduation Gowns:
  11. Every student will be required to purchase US.JM branded graduation gown supplied by the university. The payment will be part of the graduation fee. Those who pay the required fees will be informed when to collect their gowns.

  12. Invitations Cards:
  13. As a graduand, you are entitled to invite and come along with TWO VISITORS ONLY. They are the only ones who will be allowed entry to the graduation venue to attend the 4th graduation ceremony. The graduation booklets and invitation cards will be distributed to all students who will have cleared with all the faculties and departments including accounts department as provided on the clearance form, obtainable from the Reception Desk.

  14. Dress code:
  15. You are reminded of the need to dress decently on the very day of graduation or else you risk being denied entry to the graduation venue. Mini-skirtsldresses and damaged trousers, etc.. are not expected at the graduation venue.

  16. Academic Documents:
  17. All graduands are expected to stay at the graduation venue until the Chancellor dissolves the 6th congregation. The academic documents shall be distributed after graduation at the designated areas of the Campus to be announced by the MC on that day.

  18. Alumni Register:
  19. One of the requirements for clearance is your registration in the book of Alumni as a member of USJM alumni. USJM administration and all other alumni will need to keep in touch with you, hence the need to leave your particulars behind. You are asked to always remember your Alma Mater.

  20. Information flow and continued networking:
  21. An official WhatsApp group has been created for all the graduands to facilitate information flow and timely updates between the graduands and the university officials. Please use the forum for relevant information and updates.

  22. Security:
  23. For security reasons, the following are prohibited at the graduation venue: Alcohol, dangerous weapons, canned food and drinks, pocket radios, firearms, large bags, cells, batteries, chemicals, bottled drinks and any other items that may be deemed dangerous.
